Online Employee and Dependent Add and Termination Guide for Brokers
Within your HSA Insurance broker portal, you can add and terminate employees or dependents from group and non-group health and dental plans. To perform one of these actions, log into your HSA Insurance broker portal and go to the Clients page. Select the appropriate client and the action you want to take. The options are at the bottom of Client Information, above Plan Information.
Please be aware, there are instances where a census change request cannot be processed online through this new enhancement. Examples include retro termination requests beyond 60 days, rush requests, and adding a dependent or employee without a SSN. Please email our Enrollment Team, enrollment@hsainsurance.com, in these certain situations.
GROUP: Add Employees/Dependents:
To add an employee or dependent for a group client, click the Add Employee or Dependent button on the client’s page within Clients.

You will be directed to a landing page like what is shown in the first image below. All active employees will display with the option for adding a dependent to their policy, and beneath is the option to add a new employee.

To add an employee, complete all fields on the Add a New Employee page. Once all information has been entered, hit Add Employee to be brought to the next page.

From here, you can review the information you entered and make edits, or remove the employee if necessary. You can also add dependents for that new employee or add another employee.
You can add as many employees and dependents as needed within one transaction, with different qualifying event reasons and effective dates. If you’re finished and the information displays correctly, click Review/Confirm to land on the final review page.

On the final review page you can add a note for our Enrollment Team if any additional details are needed. We also require an email address from the user so our Enrollment Team has a contact for follow up, if needed.
Check off the Terms & Conditions box and click submit to finalize your employee or dependent add.

When submitted, you will be provided with a Request ID# and an Enrollment ID# for reference. The Enrollment ID# can be referenced when communicating with our Enrollment Team. Please remember, as noted on the confirmation page, the action you are submitting will not be automatically processed immediately. Our Enrollment Team will process the request within our standard turnaround time.

Terminate Group Employees/Dependents:
To terminate a group employee or dependent, click Cancel Employee or Dependent and you will be directed to a page with all active employees and dependents listed. You can terminate any combination of active employees and dependents and can select unique termination reasons and effective dates for each.
Remember to check off the Cancel Coverage box for any employee or dependent you wish to terminate. Add an email address for follow up, if needed, and hit Continue.

On the Cancel Coverage pop up, review the language and click continue. You will then see a final summary of your request. Click “I confirm this request is valid and correct” to finalize your termination request.

When submitted, you will be provided with a Request ID# and an Enrollment ID# for reference. The Enrollment ID# can be referenced when communicating with our Enrollment Team. Please remember, as noted on the confirmation page, the action you are submitting will not be automatically processed immediately. Our Enrollment Team will process the request within our standard turnaround time.

NON-GROUP Add Dependents:
For non-group clients, you will see options for Add and Cancel Dependent.

To add a dependent, complete the requested information in the fields shown below and click Add dependent to proceed.

From here, you can review the information you previously entered or add another dependent. If you add another dependent, the two+ dependents do not need to have the
same effective date or qualifying event if they are different. Both requests can be processed in one transaction.
If you’ve finished and the information is accurate, click the green Review/Confirm button to proceed.

Ensure the information is correct, add an email for follow up, check off the Terms & Conditions box, and hit Submit to finalize your dependent add request.

When submitted, you will be provied with a Request ID# and an Enrollment ID# for reference. The Enrollment ID# can be referenced when communicating with our Enrollment Team. Terminate Non-Group Dependents:
Non-Group clients will have a similar view to Group but will only display active dependents. Once you’ve entered the necessary details and added your email address for follow up, click Continue to proceed.

On the Cancel Coverage pop up, review the language and click continue. You will then see a final summary of your request. Click “I confirm this request is valid and correct” to finalize you termination request.
