The ICHRA Bulk Enrollment Upload feature is a new solution designed to streamline the individual enrollment process for brokers handling Individual Coverage Health Reimbursement Arrangements (ICHRA). This tool allows you to upload an Excel document with enrollment census data for multiple individual applications, expediting the submission process and providing immediate feedback on your submissions.

Key Features

  • Bulk Upload Capability: Submit employee rosters in bulk, significantly reducing the time needed to submit multiple individual enrollments.
  • Immediate Feedback: the system provides instant feedback on the success or failure of each enrollment submission.
    • The system will verify the quote and then report any enrollment errors.
    • Rates must match those in our system to proceed with the enrollment application, following the same requirements as the current non-group application process.
  • Error Resolution: Easily identify and correct errors, then re-upload the corrected census for processing.
  • ICHRA-Specific: This tool is exclusively for new ICHRA enrollments and cannot be used for regular non-group or small group clients.

  • Convenience: Allows for the efficient management of large enrollment volumes.

How it works

1.  Prepare the Census:

  • Download the Excel template from the ICHRA Bulk Upload page.
  • Enter employee census information according to the sample data and legend provided in the second tab of the template.
  • Ensure all fields are correctly filled out to avoid errors during submission.

2.  Upload the Census:

  • Once the census file is complete, upload it on the ICHRA Bulk Upload page.
  • Download the HIOS ID Map, if necessary, to get the required HIOS IDs for the non-group plans.

3.  Submit & Review:

  • After uploading, click the "Submit Enrollments" button.
  • The system will display whether each enrollment was successful or highlight any errors under the “Result” column.
  • Correct any errors in the census file and re-upload it for processing.
    • You have the option to submit the enrollments that were successfully uploaded (pending status), and then upload a new file for those that posted an error.
    • Alternatively, you can clear the upload, make the necessary corrections in the Excel template, and re-upload the entire file.

Important Notes

  • Parent Company Account: Ensure the parent company account is set up in the system before selecting it to tie individual enrollments.
    • You can set up a parent account by completing the account setup form through your broker portal or click here to be redirected to the form.
    • Parent company accounts become available in the broker portal the day following setup.
  • ICHRA Model Notice: Only one ICHRA model notice is required for all employees included in the census.
  • Manual Approval: All applications are submitted simultaneously but will undergo review by Eligibility and Enrollment. Follow-up will occur if there are any issues or additional information needed.
  • Renewals: The bulk enrollment upload does not currently support renewal activity. Individuals must manage their renewal activity online through HSAinsurance.com.
