Frequently Asked Questions - Helping You Manage Through COVID -19

We at HSA Insurance understand that these are uncertain times and that you have many questions that need answers.  We would like to assure you that we are committed to you and we are working with each of our carrier partners to get you the information you need.

Below you will find responses to many of your questions.  FAQ’s that are carrier-specific can be found through the links.  Simply select your carrier from the list and we will bring you to their FAQ page.

This FAQ will be updated on a regular basis and we encourage you to check back often. Look for a date after each question to see the last time it was updated.

Q: When is my premium payment due? (April 4, 2020)

A:  You pay in advance for your coverage.  Premium payments are due on the 25 th day of each month for coverage that starts on the first day of the next month. 

Q: What happens if I do not pay the premiums by the due date? (April 4, 2020)

A:  Per our standard collections policy, if you do not pay your bill on time you will have a grace period before late fees are accessed and your policy is terminated. 

Small Groups:

If we have not received your payment by these dates then we will do the following:

  • Mail a reminder letter and assess a $25 fee* on the 10th day of the coverage month.
  • Mail a pending termination letter and assess a $50 fee* on the 20th day of the coverage month.
  • Mail a termination letter 35 days after the first day of the coverage month.
  • Mail termination letters to your employees 40 days after the first day of the coverage month.  These letters offer 60-day temporary coverage retroactive to the termination date if the employee pays the premium.
  • Terminate your policy between the 45th day and 60th day after the first day of the coverage month, retroactive to the last paid date.

Individuals:

If we have not received your payment by these dates then we will do the following:

  • Mail a reminder letter and assess a $25 fee* on the 10th day of the coverage month.

  • Terminate your policy between the 45th day and 60th day after the first day of the coverage month, retroactive to the last paid date.

  Q: Are you making any exceptions to your standard policy during the pandemic? (April 4, 2020)

A: During the pandemic we are making the following changes to our standard collections policy:

Small Groups:

  • In lieu of a mailing a late reminder letter on the 10th of the month, we will mail a late reminder letter on the 15th of the month (April 15th).
  • If you remain delinquent on the 15th of the following month (May 15th), we will mail a second late reminder letter.
  • We will not assess late fees on the April and May payments

We will follow our standard collections policy as follows:         

  • Mail a termination letter 35 days after the first day of the coverage month. 
  • Mail termination letters to your employees 40 days after the first day of the coverage month.  These letters offer 60-day temporary coverage retroactive to the termination date if the employee pays the premium. 
  • If your account remains delinquent, we will terminate your policy between the 45th day and 60th day after the first day of the coverage month, retroactive to the last paid date

Individuals:

  • In lieu of a mailing a late reminder letter on the 10th of the month, we will mail a late reminder letter on the 15th of the month (April 15th).
  • If you remain delinquent on the 15th of the following month (May 15th), we will mail a second late reminder letter.
  • We will not assess late fees on the April and May payments.

We will follow our standard collections policy as follows:

  • If your account remains delinquent, we will terminate your policy between the 45th day and 60th day after the first day of the coverage month, retroactive to the last paid date.

Q: Will you offer a grace period for premium payments during the COVID-19 outbreak?  (April 4, 2020)

A: We understand that you may have difficulty making your premium payment during this time.  Please submit your request to HSA Insurance at customerservice@hsainsurance.com for consideration. We will follow the guidelines that have been established by your carrier.  Please link to your carrier’s FAQ regarding premium payments from the list below.

Q: Will you assess late payment and termination fees during the COVID-19 outbreak?  (August 13, 2020)

A: HSA Insurance will not assess late payment or termination fees for payments related to the April, May, June and July of 2020 coverage months.

Q: I am applying for a loan under the Payment Protection Program (PPP) for Businesses and Self-Employed Individuals and need a receipt from my insurance company.  Can you help me? (April 4, 2020)

A:  Yes.  You may obtain a copy of a recent invoice from the client portal.  Simply log in at www.HSAinsurance.com, select My Invoices, and choose an invoice date from the drop-down.  Your prior invoices will show payments made on your account, as well as the names of the covered employees.  If you are not able to access the client portal, call HSA Insurance Customer Service at (781)228-2222 or email us at customerservice@hsainsurance.com.
